Hey, I'm Keira (Keira at viaGlamour) a product manager here at viaGlamour. And in this video, we're going to be talking about orders. So before we begin, let's just create a product and put it in our store, just so that we have something to work with. Let's create a clear lipgloss for our store.
I'm going to head over to 'create products', I'll select any product. In this example, I'll just select a clear lip gloss, and I'm going to add this to my store by clicking 'create product' at the bottom of the page.
We can, of course, review the photo, change the backgrounds of the product, review the brand name, the description, and all of the other product descriptions before this product gets added to our Shopify store. But for now, we're just going to put it in our store so we can create a sample order just to see how this entire process works out with Shopify.
So let's add this product, give it a few seconds load, and it's going to be added into our store.
There's a few ways of how we can order products. If you're ordering it for the first time for yourself, we recommend just going to the try samples page on the left menu and creating an order for the item's you'd like to try. All makeup samples are full-sized, made in our private-label cosmetics lab fresh for your order, and always include your branding. Your branding could be as simple as your logo or an elaborate illustration that you've uploaded within our app after you've signed up with a free account.
You can order something only for yourself. If you select one quantity, go to checkout, you can immediately place an order for it. All sample orders for private-label cosmetics are formulated fresh for you and shipped to your address. If you're ordering large quantities of products, you can head over to wholesale portal, the prices might be slightly different but you'll be able to order much larger quantities of products for areas like Amazon Fulfillment centers for beauty products, Shopify's Fulfillment Network for Shopify Plus beauty store owners, or expanding your retail space with custom beauty products you're creating with our app.
If you're ordering hundreds of little clear lip gloss or thousands or five foundations, going to viaGlamour's wholesale portal where he should go. However, sometimes you want to create a draft order for maybe a client, maybe a customer that placed an order with you over the phone or through email. Or maybe you want to create a larger invoice for yourself through Shopify and not through our app. So when you want to do this, we have to do through the Shopify order draft section.
So first that's opened up a new tab, just for convenience sake. I'm going to open up the product section first in your Shopify admin.
We can see that we created the crystal clear lip gloss, but it's currently set on the draft mode. The draft mode allows viaGlamour's app to see it, but customers can't see it or order the product. Draft products are hidden from your store. And you can't really create orders for it either. So you should temporarily switch from draft to active. That way we can actually create orders from it.
Then we can head back to orders. And at the very top here, we can click create order. And here we can create an invoice for ourselves, influencer, customers, a family member, or whoever you want to create an invoice for. You can do it through the draft menu, through Shopify. So we can do browse products, all products, crystal clear, and have it added to the invoice.
We can search for the customer to attach this invoice. In this case, we're just going to use our ourselves. We'll add ourselves as the customer for this invoice and select the Canadian market for the cosmetic products we're ordering for the customer. If we want to change the currency of how this product is priced, this is where we would be able to do this.
We can head over and do click 'mark as paid'. This forces Shopify to take this draft order and just pretend that it came from a real checkout session so it can fulfilled before the products ship to the customer. Now if we head over to Shopify orders, you'll see That as at the top of our page.
When you create an order through Shopify, the order details are automatically sent to viaGlamour if it has products relevant for viaGlamour to fulfill. The order would automatically get transferred to viaGlamour and products would immediately begin formulating if you've automated your dropshipping order fulfillments with viaGlamour's free app.
And when we refresh the order page, we're going to see that there are new details about the order available to us. These metafields will be populated with relevant information, it's just going to provide a summary of how much this product costs did you to get formulated the shipping method by default, that was chosen for the order. If we go to show all, we can find a lot more information about the order. Not all of it is relevant, but it might be interesting for you to read through after an order has shipped to the customer to compare the costs of your formulation, private-label makeup settings, and the carriers that your customer was shown at checkout.
And at the very bottom, we can also track the history of the order. In this summary, we sent an email, we requested fulfillment from viaGlamour and then viaGlamour approved the fulfillment to begin the formulation process of your products for the customer's order. And this is pretty much all how all customer orders are going to be working, whether a customer orders directly from your site, or you create a manual order using the draft's order.
Like we just did previously, at the end of the day, all the orders are going to be collected on the orders page right here and your admin. However, sometimes an order might not be accepted for fulfillment. If you don't have enough account balance with viaGlamour for us to charge your account shipping.
So if you do see a fulfillment rejection on the order page, the order has been accepted for fulfillment. There's nothing else that you have to do. The invoice, the tracking number, it's all going to automatically be updated for you. However, in some cases, it's going to say that we rejected the fulfillment request. All you have to do then is just take a look. In most cases, it's just not enough account balance. And we can head over back to our app, go over to the dashboard and we can either add to the account balance. If a product costs $5 to ship and $5 to formulate, you should add a minimum of $10 to your account to fulfill the order.
You can also alternatively add a credit card to your account that will be auto-charged each time you have an order on your account and there isn't enough account balance to fulfill the order. For example, you might have a $5 account balance but a customer's shipping costs are $7. In this example, your card would be charged because there's not enough balance in increments of a hundred dollars.
Order products either through Shopify's admin or by clicking 'samples' within viaGlamour's embedded app in Shopify. It might be more convenient for you to collect everything within the Shopify admin, just by clicking Shopify and clicking orders at the top left menu to order the products you want to try for yourself. Creating Shopify orders requires any paid plan. You can try samples through the viaGlamour app without needing a subscription.
